2. Services
The scope of services for each event is specified in the corresponding descriptions.
When conducting the events offered by Verein Wilde Wurzeln, we reserve the right to make changes and deviations to individual services even after conclusion of the contract, as long as these changes or deviations are not significant and do not significantly change or impair the general theme of the booked event. Subsidiary agreements and changes to the services and costs specified in the respective offer due to requests by the client require confirmation by the Wilde Wurzeln Association.
3. Conclusion of contract
By registering, the participant offers to conclude a contract with the organizer for participation in an event.
Registration can be made verbally, by telephone, via the Internet, or in writing (even informally).
Special requests and registrations that are subject to conditions require the written consent of the organizer (e.g., email). The contract is concluded upon acceptance by the Wilde Wurzeln association, whereby no specific form is required. By registering, the client acknowledges that they are responsible for their own actions during the event and the consequences thereof. If the client is not the participant, it is the client’s responsibility to pass on this acknowledgment to the person(s) concerned.
4. Duty to cooperate
At events involving children and young people, the duty of supervision always remains with the group’s accompanying persons. The Wilde Wurzeln association is responsible for the running of the event. Any additional duties of supervision over children and youth groups require prior agreement.
5. Liability
Participants are obliged to follow the safety instructions of the Wilde Wurzeln association or the respective seminar leader. By registering, you acknowledge that you are responsible for your own actions during the event and their consequences. If you are confronted with health risks, please inform the organizer in good time.
6. Registration confirmation, terms of payment
The invoice serves as confirmation of registration for an event. Upon receipt of the invoice, the full invoice amount must be paid to the organizer within 14 days, but at least 3 days before the start of the event (if not otherwise stated on the invoice). The date of receipt by the organizer is decisive for the timeliness of the payment.

7. Underage participants
For minors, the registration form must be signed by a parent or legal guardian. In the case of children unaccompanied by adults, legal guardians are obliged to inform the seminar management in writing of any health restrictions (e.g., allergies, etc.). By signing, the legal guardians confirm that the child is capable of participating in the event. Any deviations must be reported to the seminar management and clarified.
If children are accompanied by adults, the event management is released from its duty of supervision for these children. The adults/legal guardians are then responsible for supervision.
Gross negligence on the part of the child (repeated disregard of safety instructions, deliberate damage) will result in exclusion from the event.
8. Stimulants & distractions
Since many of the association’s events are about consciously engaging in the experience, certain stimulants and distractions are prohibited at our events unless explicitly permitted. This is necessary primarily because some things, substances, and actions influence this conscious experience and prevent or hinder the desired effect of the event from unfolding.
These include: drugs, alcohol, portable computer games, and cell phones during group sessions.
Any exceptions to this rule must be clarified with the seminar leader.
9. Costs of events, leisure and vacation offers
Material costs may be incurred when attending events. Unless otherwise stated, these material costs must be paid by all participants themselves. These include, for example: travel expenses, accommodation, meals, various materials, and admission fees. These material costs can vary greatly depending on the event.
Costs for supervision or assistance may also be incurred.
10. Cancellation policy
Cancellations must be made in writing to the organizer. The date of receipt of the cancellation notice by the organizer shall be decisive. If a participant withdraws from the event contract, the Wilde Wurzeln association may demand compensation for the preparations made and for expenses already incurred. This compensation may be calculated by the Wilde Wurzeln association as follows:
For short events lasting a few hours to a (extended) weekend:
- Cancellation up to 20 days before the start of the event: free of charge
- Cancellation up to 10 days before the start of the event: 50% of the participation fee
- Cancellation 10 days or less before the start of the event: 100% of the participation fee (this also applies in the case of agreed installment payment)
For longer events lasting 5 days or more:
- Cancellation up to 60 days before the start of the event: free of charge
- Cancellation up to 30 days before the start of the event: 50% of the participation fee
- Cancellation 14 days or less before the start of the event: 100% of the participation fee (this also applies in the case of agreed installment payment)
The cancellation fee does not apply if the participant nominates a replacement participant from the target group who, after consultation with the event management, attends the event and pays the participation fee. However, the original participant remains liable for the course fees.
11. Force majeure
If the event is significantly impeded, endangered, or impaired as a result of force majeure that was not foreseeable at the time the contract was concluded, both the Wilde Wurzeln association and the participant may terminate the event contract. If the contract is terminated, the Wilde Wurzeln association may demand reasonable compensation for services already rendered.
Appendix: Pandemics
If you live in a country where regulations due to a pandemic prevent you from traveling to the country where the event is taking place, the participation fee for the aspect of the seminar taking place in that country will be refunded in full, unless otherwise specified individually in the event.
12. Rights of use
The drafts, ideas, and concepts created and presented by the Wilde Wurzeln association are the intellectual property of the Wilde Wurzeln association or the respective seminar management (depending on the author) and may not be used or implemented, even in part, without express permission.
13. Data protection
All personal data is collected and processed electronically in accordance with the statutory data protection regulations. Only personal data that is necessary to ensure participation and for accounting purposes is collected. Details are set out in the privacy policy.
14. Photo usage rights
At all our events, the organizers may photograph and/or film the proceedings. For the publication of photos, separate consent is obtained from each participant, which can be revoked at any time.
15. Severability clause
Should one or more provisions of these contractual terms and conditions be invalid, the validity of the remaining provisions shall remain unaffected.
